Privacy Policy for Taskonomicon

1. Introduction

   Welcome to Taskonomicon. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application. By using Taskonomicon, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

   We collect several different types of information for various purposes to provide and improve our service to you.

   1. Information You Provide Directly:

      Account Information: When you register for an account, we collect your name, email address, and a hashed (not plain text) password. User Content: We store all the data you create and input into the application, including but not limited to: Tasks, Product details, Product Items (requirements, specifications), Versions, Notes, and Client information. Third-Party Credentials: To provide integration features, we securely store API credentials that you provide. This includes:

      • Jira: Your Jira Host, email, and API Token.
      • Microsoft 365 & Google: Your account email and an OAuth2 Refresh Token.
      • All sensitive tokens and credentials are encrypted in our database.

   2. Information We Collect via API Connections:

      • When you connect a third-party account, you grant us permission to access data from that service on your behalf.
      • Email Data: When you use the email triage feature, we ingest and store the content of those emails, including sender, recipients, subject, body, and attachments, in our database. This is done to make them searchable and linkable to other items within Taskonomicon.
      • Jira Data: When you link a Product Item to a Jira ticket, we fetch and store the ticket's summary and current status.

   3. Usage Data:

      Last Login: We store a timestamp of your last successful login to provide activity information on the admin dashboard.

      Server Logs: Like most web services, our servers may automatically log information like your IP address, browser type, and the pages you visit within the application.

3. How We Use Your Information

   We use the collected data for the following purposes:

   1. To provide and maintain the core functionality of the Taskonomicon service.
   2. To allow you to connect to and interact with third-party services (Microsoft 365, Jira, Google) that you have authorized.
   3. To perform automated actions on your behalf that you initiate (e.g., archiving an email it has been processed).
   4. To provide administrative oversight on user activity (for the admin users only).

4. How We Share Your Information

   Your privacy is paramount.

   We do not sell, trade, or rent your personal information to third-party.

   The only time your information is shared with a third party is when we make an API call to a service you have explicitly connected and authorized, such as Microsoft, Google, or Atlassian (Jira), to perform an action on your behalf.

   We may disclose your information if required by law or in response to valid requests from public authorities. Where legally permitted, we will notify you if such disclosure occurs.

5. Data Storage and Security

   Your data is stored on servers provided by our hosting provider (OVH).

   We use industry-standard security measures to protect your data. Sensitive information like API tokens and refresh tokens are stored in an encrypted format in our database. Passwords are hashed.

6. Data Retention and Deletion

   We will retain your information for as long as your account is active. You can request the deletion of your account and all associated data directly from your profile settings. When an account is deleted, all associated data (tasks, notes, emails, etc.) is permanently removed from our systems.

7. Changes to This Privacy Policy

   We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page.

   We will let you know via email and/or a prominent notice on our service.
